Care Check can tailor your DBS checking services account to make the system work better for your organisation.
We have two main account set ups; a basic system and a multi-account system.
Basic System – DBS Checking Services
The Basic DBS checking services system is utilised by many clients and incorporates one main account with a primary user. Any number of additional users can also be added at both applicant manager or ID checker level.
All DBS checking services disclosure information is maintained on one dashboard and HR users can view the appropriate information according to their user access.
Applicant managers can validate applicant ID, approve and track an application. They can also view completed certificate notifications and review applicant reports if required.
ID checkers can only verify an applicant’s ID. They are unable to approve an application or view any results as their access prohibits them from seeing such information. An applicant manager would always need to approve an application after the ID checker had verified ID documents.
For example, a nursery school is an independent organisation and the care manager wishes to process checks for her staff. She needs to oversee all information and would like to be appointed as a primary applicant manager. She also has a deputy manager. She will be added on the same account, but as an applicant manager. An administration assistant receives all applicant ID and is therefore set up as the ID checker for the organisation.
We recommend implementing a multi-account system to larger clients who have multiple sites and require the users at these locations to manage the DBS process.
For instance, a care company houses three sites, but wish to have a head office account that oversees all applications. Care Check would generate a head office account and a HR manager would be appointed as a primary applicant manager and given access to all sites. Additional accounts can then be added for each separate site or project. A primary applicant manager would be designated for each site; applicant managers and ID checkers would also be nominated. Each site can view disclosures for their location, but it is only the HR manager on the Head Office account that can view all the disclosures on one account dashboard.
